01Acceptance of these terms

By using this website, making an enquiry or placing a booking, you confirm that you are at least 18 years old and that you accept these terms in full. If you do not agree, please do not use the site.

02Who we are and what we do

This website is operated by Event Connect LLC, registered in the State of Wyoming, United States. We arrange medical conference registration and accommodation, safari and trekking travel in Tanzania and Zanzibar, and tickets for sports and live events worldwide.

We act as a booking agent. Accommodation, flights, park access, ground transport and event entry are provided by third-party suppliers under their own terms, which apply to your booking alongside these.

03How bookings work

Conference travel and safari bookings

• A contract exists once we have received your deposit and issued written confirmation.
• A deposit of 30 to 40 percent is required to secure most bookings.
• The balance is due 45 to 60 days before arrival unless we tell you otherwise. For bookings made inside 45 days, full payment is due at confirmation.
• Certain luxury lodges, peak-season dates and special permits may require a higher deposit.

Event tickets

• Tickets are sourced and reserved specifically for you once your order is confirmed. For that reason a confirmed ticket order is binding.
• Until we confirm, prices and availability may change.
• Where exact seats cannot be guaranteed, you will receive seats in the category you ordered. We make every effort to seat groups together but cannot always guarantee adjacent seats.

04Pricing, fees and currency

Prices are quoted in US dollars unless stated otherwise, and may be shown in the currency you select. Ticket prices may differ from the face value printed on a ticket, reflecting demand, availability and the service we provide. The total payable, including any applicable fees, is shown before you complete your order.

Before a deposit is confirmed, prices may change because of supplier adjustments, park fee changes or currency movements. We are not responsible for fees your bank or card issuer applies for currency conversion.

05Your responsibilities

• Ensuring your passport validity, visas and vaccination requirements are met.
• Carrying comprehensive travel insurance covering trip cancellation, medical evacuation, emergency medical expenses and travel delays. This is a condition of all safari and trekking bookings.
• Giving us a correct email address, since confirmations and delivery details are sent there.
• Arriving at an event with a valid ticket and any identification the organiser requires.

06Changes requested by you

Requested changes may carry additional cost, including lodge penalties, flight rebooking fees or permit reissue fees. Confirmed ticket orders cannot be amended or cancelled without our prior written approval, and a cancellation fee may apply at our discretion.

07Changes made by us

We reserve the right to adjust an itinerary for reasons of safety, weather, park regulations or operational necessity. Where a ticket delivery method has to change, for example from hotel delivery to a collection point, we will tell you in good time.

08Postponed or cancelled events

• Postponed or rescheduled: your tickets normally remain valid for the new date and the order cannot be cancelled. If you cannot attend, we can try to obtain a refund from the supplier or resell the tickets, but we cannot guarantee either.
• Cancelled with no replacement date: we will pass on any refund we receive from the supplier, in line with their terms.

09Refunds

Cancellation windows, refund percentages and processing times differ by brand and are set out in full on our Refund and Cancellation Policy page.

10Our role and our liability

We act as a booking agent for accommodation, airlines, parks, organisers and local operators. We are not liable for their acts or omissions, or for events beyond our reasonable control.

To the extent permitted by law, our total liability in connection with any booking is limited to the amount you paid for that booking. We are not liable for indirect or consequential losses, or for travel, accommodation or other costs incurred around an event. Where we are unable to deliver confirmed tickets for reasons attributable to us, our liability is limited to a refund of up to 100 percent of what you paid for those tickets.

11Authenticity

We work only with authorised suppliers and verified inventory. Every confirmed ticket is sourced to be valid for entry to the event you booked.

12Intellectual property

All content on this website, including text, images, logos and code, is owned by Event Connect LLC, its affiliates or their suppliers, and is protected by copyright. You may not reproduce it without permission. If you believe content on this site infringes your rights, contact support@eventconnecto.com and we will remove it promptly where the claim is legitimate.

13Governing law

These terms are governed by the laws of the State of Wyoming, United States, without regard to conflict-of-law principles. Nothing here affects mandatory consumer-protection rights you may have in your country of residence.

14SMS and text messaging terms

• By opting in you agree to receive service and customer-care SMS: booking confirmations, updates, event notifications and support replies. Frequency varies with your bookings and support activity.
• Enrolment happens only when you tick the SMS consent box and place your booking. Consent is optional and is not a condition of purchase.
• Message and data rates may apply under your wireless plan. Reply STOP to cancel at any time, or HELP for assistance.
• Wireless carriers are not liable for delayed, failed or undelivered messages.
• We may modify, suspend or end the SMS programme at any time, subject to applicable law.
